How to Use FieldQuote-AI

1. Set up your Price Book first

Your Price Book is the source of truth for every quote you create. Before creating your first real quote, add your labour rates under Price Book and your material costs under Materials. Give each one a category (Plumbing, Electrical, Building, Tiling, etc.) — categories drive the dropdowns you'll use later, so an item with no category won't show up correctly when building a quote.

2. Creating a quote

Tap New Quote, enter the client's name, and attach a photo and/or a voice note describing the job. Speaking clearly and mentioning quantities ("two double outlets", "twelve square metres of tiling") gives the best results. The AI will transcribe your voice note and turn it into a draft list of line items automatically.

3. The AI is a drafting tool, not the final word

The AI does its best to split work from materials and match items to your Price Book, but it won't always get it exactly right — it might invent a description that doesn't match anything in your Price Book, or occasionally put an item in the wrong section. This is expected. Always check the Review screen before sending — that's exactly what it's for.

4. Reviewing and finishing a quote

On the Review screen, each line has a Category and Item dropdown — selecting an item from your own Price Book or Materials list will auto-fill the description and rate for you, so you rarely need to type prices by hand. You only need to type the Quantity. Totals update live as you edit. Add any extra comments for the client in the Notes field at the bottom before sending.

5. Sending a quote

Hitting Save and Send emails the quote directly to the client (if they have an email on file) and marks it as sent. Whether you're able to send depends on your plan:

My Quotes in the top navigation shows every quote you've created, with its status and total, and a link back into each one to review or resend.

7. Known device quirks

On some tablets and phones, category suggestions may appear as a horizontal strip just above your on-screen keyboard rather than a traditional dropdown — this is normal browser behavior on that device, not a fault. You can still tap a suggestion or type your own category.
